The Opportunity
Beam Planning is looking for an Operations Coordinator to join our team. This part-time role is ideal for someone who is highly organised and proactive as they will play a central role in the day-to-day operation of our consultancy business.
As an urban planning consultancy working across some of NSW’s most significant precincts and projects, we are seeking a candidate to support the directors and broader staff, ensuring the business runs smoothly and efficiently. The role best suits someone who enjoys structure, problem-solving and being the “go-to” person across finance administration, coordination and office operations in a professional services environment.
Your Role
In this role you will provide administrative, operational and business support to ensure the smooth and efficient running of the office and project delivery. You will support the team with administrative tasks, manage day-to-day office operations, and assist with internal processes, document management, scheduling and client coordination.
Key responsibilities will include:

Provide high-level administrative and operational support to the directors and planning team.

Coordinate meetings, calendars and internal communications.

Coordinate staff travel, accommodation, bookings and event logistics.

Assist planning team with document formatting, proofreading and quality control on reports, proposals, submissions and planning documents.

Support project setup and administration.

Support the upkeep of templates, style guides, and company branding across all documents.

Support preparation of client proposals, marketing material and capability statements.

Maintain a tidy and functional office, including meeting rooms and kitchen facilities.
The ideal candidate will also be able to assist with finance administration, bookkeeping tasks, reconciling transactions, invoicing and expense processing but experience in this area is not essential.

Beam brings together four experienced directors who have a collective 60+ years of experience in large private consultancy. The four directors decided to start their own firm focused on working on the most important projects in NSW in a collaborative environment where excellence and innovation thrive.
We are a small and high-performing team, with a focus on providing excellent service to our clients and producing high quality outputs. We have a high standard and only work on projects that matter. In just 2 years we have grown to 15 staff. This is our first non-technical role and provides the opportunity for the applicant to join and grow with our new business.

Key requirements
We are seeking a candidate with the following attributes:

2+ years of experience in an administrative or office support role, ideally in a consultancy or professional services environment.

Strong written communication, document formatting and professional presentation skills.

High proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook).

Strong organisational skills, attention to detail and ability to manage competing priorities.

Customer-focused approach and confident communication style.
Desired, but not mandatory:
-
Experience using invoicing systems.
-
Experience in financial administration, including bookkeeping and use of Xero.

Registered BAS Agent.
